AYSO Course Roster Return Policy

The Coach, Referee and Management Commissions have diligently pursued a solution to the problem of missing rosters for AYSO training courses. Thanks to their efforts, many past due rosters have been returned, and our volunteers are receiving credit for their efforts. Unfortunately, a large number of rosters remain delinquent. The commissions jointly developed a plan for dealing with this problem. Following input from the section directors, the commissions presented the following action plan at the November 15, 2003 meeting of the National Board of Directors.

AYSO Instructors Tips

In order to ensure attendees receive credit for completed training, it is vital that training rosters are returned to the National Support and Training Center (NSTC) for entry into the AYSO database in a timely manner. Therefore, the disposition of any training course authorized by the NSTC must be resolved within 60 days following the scheduled date of the course and notification of the course status provided to the roster administrator at the NSTC. Any lead Instructor who has failed to account for a roster within the 60 day period following the scheduled training date will not be authorized to conduct additional training until the past due roster is returned or its status satisfactorily resolved.

The members of the National Board of Directors present at the meeting expressed unanimous support for this proposal and encouraged the commissions to move forward. Please be advised, therefore, that effective immediately, no new rosters will be issued to instructors who, 60 days following the scheduled date for a course, have not returned or otherwise accounted for the roster. The following letter will be sent to instructors with overdue rosters: \

Dear Instructor:
AYSO would like to thank you for your time, talent and dedication to the training and continuous education of our volunteers. However, our records indicate that you have an outstanding roster from a previous training session. If the course was cancelled or is not yet completed, we need to know that. More importantly, if the course was held, those who completed your training will not receive credit and recognition for that training until the roster is received at the NSTC. Please help us account for the missing roster.
Attached please find a description of the authorized training for which the roster is now outstanding for more than 60 days. You are listed as the lead instructor, responsible for this roster. If the training was cancelled, pending, or not yet completed, please contact the Roster Administrator at 1-800-USA-AYSO or email rosteradmin@ayso.org to explain. Otherwise, please submit the completed roster to Roster Administrator, c/o AYSO, 12501 S. Isis Avenue, Hawthorne, CA. 90250.

Your service as an AYSO instructor is both appreciated and valued. However, we cannot issue you a new roster for additional training until the status of your outstanding roster is satisfactorily resolved.

Thank you in advance for your prompt attention.
Sincerely,
Programs Department

AYSO National Support and Training Center
